How to Track Where Your New Customers Come From

You can't grow what you can't see. Here's how to track where customers find you — and prove which partnerships are worth repeating.
Ask most business owners where their new customers come from and you'll get a guess. Ask them which marketing actually pays for itself and you'll get a shrug.
Tracking customer origins doesn't need fancy software — it needs one habit and a little consistency.
The simplest method: just ask
The most reliable source of truth is a two-second question at the till or on the phone: "How did you hear about us?"
Offer options so it's easy to answer: a friend, social media, a voucher, the school fundraiser, walking past, an ad. Record the answers — a tally sheet, a spreadsheet, a note on the invoice.
Use what you can see
Beyond asking, watch the signals:
- Voucher codes: which fundraiser's vouchers come back, and when.
- Unique links or QR codes: give each partnership its own code.
- First-visit bookings: ask new clients to book online and note the source.
- Seasonal patterns: which months bring strangers through the door.
Track the right numbers
For each source, note:
- How many new customers arrived.
- How many returned within a month or two.
- How much they spent, on average.
That turns a list of sources into a picture of which channels deliver regulars — not just visitors.
The verdict on partnerships
With tracking in place, a fundraiser partnership stops being a leap of faith:
- "The school campaign brought us 23 new customers; 6 returned."
- "The club vouchers cost us $300 in shares and fees — and 11 first-timers became regulars."
Those numbers tell you exactly which partnerships to repeat, expand or retire.
Watch for the hidden channels
Word of mouth often out-performs everything else — and it's easy to miss. When a customer says "my sister told me about you", that sister probably heard about you through a fundraiser or a post you can't see. The indirect path still traces back to the visibility your partnerships create.
Make it a habit
Ask every day, record every week, review every season. Within a year you'll know your business's customer channels better than most competitors — and you'll be able to spend your marketing where it actually works.
