You can't support every fundraiser — and that's okay. Here's how to decline requests without losing goodwill.
The requests keep coming: schools, clubs, churches, families, community groups. You'd love to help them all, but you can't — and saying no badly can cost you more goodwill than the partnership would have built.
Here's how to decline gracefully, and strategically.
Why "no" is necessary
Every yes costs capacity, margin and attention. Saying yes to everything means delivering poorly on all of it — and a badly delivered partnership hurts your reputation more than a polite refusal. A strategic no protects the quality of the yeses that matter.
The gracious no
The secret to a good no is warmth and timing:
- Respond promptly. Ignoring a request is the only unforgivable answer.
- Thank them genuinely. "We love what you're doing for the community."
- Be honest, not evasive. "We've already committed our support for this period."
- Leave the door open. "We'd love to be considered next time."
You don't need to explain your budget, your margins or your doubts. A warm, honest no preserves the relationship.
The strategic alternatives
Sometimes a full yes is too much, but a smaller offer isn't:
- A reduced offer. Fewer vouchers, a lower value, a smaller share.
- In-kind support. Products for the gala instead of a voucher partnership.
- A future commitment. "We can't help this campaign, but ask us in spring."
- A referral. "We can't, but [another business] has supported causes like yours."
Half a yes often beats a full no — and keeps the door open.
Be consistent
Communities understand budgets and capacity. What they don't understand is inconsistency: saying yes to some causes and refusing others with no visible logic. A clear, fair policy — "we support two local causes per term, chosen by our team" — makes every answer easier to give and easier to accept.
The no that still builds goodwill
The best no is the one that leaves the fundraiser thinking well of you: prompt, warm, honest, and offering what you can. That goodwill carries into the next request — and into the community's everyday conversation about your business.
